Event Accessibility Features

Quiet/Recovery Room

A dedicated quiet room will be available throughout the event for anyone who needs a break from sensory stimulation or social interaction. The room will be:

  • Located away from the main event space to minimize noise
  • Equipped with comfortable seating
  • Dimly lit with adjustable lighting
  • Stocked with noise-cancelling headphones
  • Available at all times during the event without reservation

Staff will ensure this space remains quiet and is used only for its intended purpose.

Audio/Visual Setup

We've invested in high-quality AV equipment to ensure clear communication:

  • High-definition projection screens visible from all seating areas
  • Quality sound system with even distribution throughout the venue
  • Microphones for all speakers and during Q&A sessions
  • Live captioning for all presentations
  • Presentation materials available in advance upon request
  • Adjustable volume controls in different areas of the venue

Communication Support

We understand that communication preferences vary, especially among neurodivergent individuals:

  • Optional color-coded communication preference badges (green: open to conversation, yellow: approach with caution, red: please don't approach)
  • Written materials available for all verbal presentations
  • Staff trained in neurodiversity awareness and communication
  • Questions can be submitted in writing rather than verbally
  • Advance notice of questions for pitch participants who prefer preparation time

Food and Refreshments

We'll provide a variety of food options to accommodate different dietary needs:

  • Clear labeling of all food ingredients and allergens
  • Vegetarian, vegan, gluten-free, and dairy-free options available
  • Separate serving areas for different dietary requirements to prevent cross-contamination
  • Quiet eating area away from the main networking space
  • Water and non-alcoholic beverages available throughout the event

Schedule and Timing

We've designed the event schedule with breaks and flexibility in mind:

  • Regular scheduled breaks between sessions
  • Clear timeline provided in advance and displayed throughout the venue
  • Announcements before transitions between activities
  • Buffer time built into the schedule to prevent rushing
  • Option to step out and return during any session
